We inventory what you run
A 45-minute conversation with you and whoever runs your front desk or office: which phone bots, chat widgets, scheduling tools and automations you already have, who set them up, and where they let you down.
We review how it performs
We test and review each system as a customer would, check settings, scripts and reports you choose to share, and compare them with what the vendor now offers. We never need patient or client records.
You get a written plan, then you choose
A short report in plain language: what is outdated, broken or costing you, what to update first, and what we would leave alone. You decide what happens next, and we do not change anything until you approve it.
The $999 Business Audit
$999 fixed priceA fixed-price audit of the AI and automation you already run: phone bots, chat widgets, scheduling tools and automations. We find what is outdated, broken or costing you, and give you a prioritized written plan. If something important is missing altogether, the plan says so too.
- A 45-minute interview with you and your office lead
- An inventory of the AI and automation tools you already use: what each one does, who owns it, what it costs you per month, and what it connects to
- A test of each customer-facing system as a customer would experience it: calls, chat, online booking, web forms and reply speed
- A check for outdated settings, scripts and answers (hours, services, pricing, policies), broken or dead-end flows, duplicate or unused subscriptions, and tools your vendor has since improved or replaced
- A written plan with the top fixes ranked by effort and expected value to you, including what to keep, update, replace or retire
- Estimated hours saved, inquiries recovered and monthly cost reduced, shown with the assumptions behind each number
- A 30-minute walkthrough of the findings and a Q and A afterward
- The report is yours to keep and use, whoever does the work
For dental and specialty practices
Many practices already have an answering bot, a website chat widget, online scheduling and reminder or recall automations, often set up some time ago and rarely checked since. The audit tests them the way a new patient would, and looks for answers that are out of date (hours, insurance, services), dead-end flows, missed hand-offs to your front desk, and subscriptions that overlap. We work from a conversation with your team, what you choose to show us, and your public site. We do not need to see patient records, and we will say so up front.
- Phone and chat bots: what they say, when they hand off to a person, and what happens after hours
- Scheduling tools and reminders: confirmations, no-show handling and what a patient sees when a slot is full
- Recall, review-request and follow-up automations: still running, still accurate, still wanted
- Clear boundaries for anything touching patient information, agreed in writing before any such work
For remodel, landscape, pool and other home-service firms
For a project this size, the first reply often decides who gets the site visit. If you already run a web chat, a call-answering bot, a CRM or estimating tool, or automated follow-ups, the audit checks whether they still work as intended and still match how you sell. We look at how fast and how clearly a homeowner hears back, where leads fall through between tools, and what you pay for that no longer earns its keep. You get a short list of updates ordered by what wins and protects the most work.
- Chat widgets, call-answering and web-form replies: speed, accuracy and hand-off to your team
- Lead qualification and proposal follow-up automations: broken steps, stale templates and missing triggers
- Scheduling for site visits, and homeowner status updates during a project
- Tools that overlap or no longer connect to each other
- Review and referral requests after completion
After the audit
If you want help putting the plan in place, implementation is scoped and priced in writing before any work begins. It covers upgrading and fixing the systems you already have, and building what is missing. Ongoing monthly maintenance, also with a written scope, keeps your AI tools and automations current as vendors and your business change, and reviews how they perform. Software subscriptions are billed at cost. Both are optional, and the audit stands on its own.
FAQ
What does the audit cost, and what do I get?
$999, fixed. You get the interview, a review of the AI and automation tools you already run, a written prioritized plan of what is outdated, broken or costing you, and a walkthrough. See the list above for the full contents.
What happens to my data and my customers' data?
We do not ask for patient, client or financial records. To audit tools you already have, we may ask to see settings, scripts, answer text and summary reports. Where you can, share screenshots or read-only access that you set up and can revoke, and we will ask you to leave out customer names and contact details. We use what you share only for your audit and do not share it with others. Your vendors' own terms still apply to your accounts.
Will you change anything in my systems without my approval?
No. The audit is advice only: we do not edit your phone bots, chat widgets, scheduling tools or automations during it. Any later upgrade or maintenance is scoped in writing first, and nothing is switched on, sent to your customers or changed in your tools until you have approved it.
Do I need to replace the tools I already have?
Not necessarily. The plan starts from what you already run and says for each tool whether to keep, update, replace or retire it, and names where a new tool would actually pay for itself.
What if my systems were set up by someone else, or I am not sure what I have?
That is common. The first step is an inventory, and we work from what you can show us. If a vendor or the person who built it is still involved, we can work alongside them. If the audit finds nothing worth fixing, we will say so.
